Policies and Terms
This statement covers all Minnehaha Academy Summer Day Camps. By registering your child(ren), you agree to these policies and terms.
- Camp Registration:
• Registration begins on January 23 , 2025. Registrations will not be accepted before this date.
• Registration takes place online at Minnehahaacademy.net.
• At registration, a non-refundable $50 deposit per camp is due and is applied toward camp tuition.
• Register for camps according to the grade the student will be going into in the upcoming fall.
• A registration confirmation will be sent via e-mail upon completing the registration process. - Payment Options:
• Payment in full at the time of registration
• Installment Plan: Payments can be made over several months, depending on when you register. The final payment is due on June 1, 2025. The non-refundable deposit of $50 per camp is required when you register, even if you choose the installment plan.
• Full payment is required for all registrations starting June 1, 2025, and thereafter. - Financial Assistance: Financial Assistance is available for Summer Academy and Kindergarten Bound to those who qualify. Financial aid requests must be processed and approved before your student can attend camp. Contact Carman Coffman Johnson to apply for Financial Aid: coffmanjohnsoncarman@minnehahaacademy.net
- Refund Policy:
• A refund, minus the $50 registration deposit per camp, will be issued for cancellations made before March 1, 2025.
• A 50% refund will be provided for cancellations made between March 1 and June 1, 2025.
• Refunds for medical reasons are available only for absences of one week or longer, and a doctor’s note is required. In these cases, the loss of tuition will be shared equally between the participant and the program.
• No refunds will be given for cancellations after June 1, 2025. - Camp Changes and Cancellations: We reserve the right to combine or cancel camps as needed. If we must cancel a camp, we will make every effort to notify families at least two weeks before the camp begins. In such cases, students will have the option to transfer to another available camp or receive a full refund.
• If a parent/student initiates a change in camp, the request must be in writing. Emails should be sent to coffmanjohnsoncarman@minnehahaacademy.net. We will do our best to accommodate the request, but we cannot guarantee a change can be made.
• If the camp change results in a price increase, the difference will be charged to your account.
• If the change results in a price decrease no monetary refund will be issued. - Instructor Changes: We reserve the right to change the instructor of any camp as staffing needs and schedules dictate. We make every effort to have instructors arranged by our catalog publish date but changes do occur after the publishing of the catalog.
- Transfer of Students Between Age Groups: Minnehaha Academy Summer Day Camps reserves the right to move participants between age groups as maturity indicates.
- Absences: There will be no price reductions for school closings, absences, family vacations, or late enrollment. No refund will be given if a student is dismissed due to disciplinary action.
- Dismissal of Student from Camp: We reserve the right to dismiss any student from Minnehaha Academy Summer Day Camps at our discretion. No refund will be given.
- Emergency Information: To participate in Minnehaha Academy Summer Day Camps, every student must complete an Emergency Information form. This form gathers essential contact and medical details needed in case of an emergency and must be kept up-to-date for all participants.
- Insurance: All students enrolled in Minnehaha Academy Summer Day Camps are provided with Student Accident Insurance. This insurance is supplemental, which means it serves as second-ary coverage to any personal health or accident insurance that students may have. Please call the school office for more details about the Student Accident Insurance program.
- Lost or Stolen Items: Parents should label all clothing with their child’s name to help identify items and prevent loss. Minnehaha Academy Summer Day Camps are not responsible for lost or stolen belongings. We encourage all participants not to bring valuable items like jewelry, electronics, money, or expensive clothing. Students should also avoid bringing toys, trading cards, or similar items unless requested by a teacher for a camp.
- Zero Tolerance Policy: We have zero tolerance for weapons or anything that could be construed as a weapon. We do not tolerate foul or threatening language, bullying, or harassment of any sort. Violation of this policy is grounds for dismissal.
- Chemical Use Policy: The use of alcohol, tobacco, THC-e-cigarettes and related products, and prescription medication outside of intended use is prohibited on all Minnehaha Academy campus-es and at any event sanctioned by Minnehaha Academy, including field trips. Violation of this policy is grounds for dismissal.
- Appropriate Dress: Students are required to dress appropriately for summer activities. We do not allow clothing that reveals underwear, excessive display of skin (i.e.: halter/crop tops, short shorts, etc.), or clothing that advertises alcohol, political affiliation, sexual orientation, or other chemicals, weapons, or groups that condone chemical use. Students in violation of the dress code will be required to change into more appropriate clothing. Some camps and field trips may require specific clothing.
- Media/Photo Policy: By completing our registration form, parents give consent to Minnehaha Academy Summer Day Camps the use of their student’s photograph, voice, video recording, or camp projects in school publications, news releases, and in promotional materials to the public (both online and in print) without compensation or further authorization. Minnehaha Academy Summer Day Camps has permission to use, edit, reproduce, and publish photographs, video, and audio of my student, both while he or she attends Minnehaha Academy Summer Day Camps and thereafter in perpetuity.
- Publishing Errors: Errors in our online communications may occur despite our best efforts to ensure accuracy. Minnehaha Academy will not be held responsible for typographical or transpositional errors. If you believe there is an error, please contact us.
